Trello Tutorial: How To Use Trello To CRUSH Your Productivity
(For Beginners & Entrepreneurs)

What if there’s an easy process to creating a simple but super powerful workflow that will level up your productivity and save you a tremendous amount of time?

Yes, there’s a way to manage your workflow more efficiently and get back HOURS of your time every week.

I’ve been perfecting this process using Trello for years now and teaching our students in The Business Lounge how to apply it to their unique productivity style since 2016.

So all this to say, you CAN level up your productivity with a few simple tweaks and Trello is my favorite tool to do so (although there are many other awesome tools you can use too).

And in this episode, I’m going to walk you step-by-step through the process of creating a simple yet super powerful workflow that will level up your productivity to no end and save you a ridiculous amount of time.

Let’s get into it.

Step #1: Name your workspace.

This could be anything you want it to be called, whether your business name or a particular department.

Step #2: Create your first board.

So once you click on boards, you’ll see that it will prompt you to create your first board, and you can title it whatever you want.

I created a FREE Personal Trello board template that will help you save time if you’re just getting started.


The idea with Trello is that you will move your cards or tasks from left to right in a combat workflow.

And so, we’re going to set up a simple list.

  1. Create a list of your To Do’s
  2. Next, Doing
  3. And Done

You can add as many cards as you want, depending on how you want your workflow to look.


Once you have your three basic lists, the next step is just to add cards to your to-do list that you want to accomplish.

Now, a good brain dump here would be very, very helpful.

And so, just bring up everything that you’re going to want to work on this particular week.

After you have outlined what you want to work on this week, as doing the task, you will move that particular task from To-Dos to Doing.

And move it to Done once you’ve completed it.

Remember, each of your tasks or projects is represented on cards. And these cards are really easy to edit and change up.

You can add:

  1. A short description or notes.
  2. Members to collaborate on a particular card or task.
  3. Labels and categorize your card based on function.
  4. Checklist for your tasks that will take a variety of steps.
  5. Due dates, so you can set reminders for yourself or team members.
  6. Attachments. You can attach URL Links or files from your computer, Google Drive, Dropbox, Box, OneDrive, or Trello itself.


Calendar Power is an amazing way to take your productivity to the next level.

To activate your calendar power-up:

  1. Go to “Menu,” then go to “Power-ups.”
  2. Search for the calendar Power-up by typing in the keyword “calendar.”
  3. From there, click on “Add,” and you’re good to go.

Don’t forget to add due dates to your cards so they show up in the Calendar view, or create new cads directly from the weekly or monthly calendar view options.

So now, you can see all of your tasks and your cards on that calendar view. Now you could also see this in Week view.

And that just makes things a lot easier. So again, using the calendar power-up, I think, is a must.

Because again, I want you to make this process your own. It’s not about just modeling what we do, but making it fit your particular style.
